2015 Chapter Conference and Club Race Stewards

About this event

  • It is highly suggested that each chapter send their respective President and Treasurer to the conference.
  • BMW CCA will provide travel (based upon reimbursements levels published by the club office), meals and lodging (based on shared double occupancy) for the Chapter President (or designee) and Treasurer (or designee).
  • BMW CCA will not provide reimbursement for mileage to the airport, meals en route, or other incidental travel expenses (including baggage fees). Attendees may request reimbursement for non-covered expenses from their chapter however BMW CCA does not set local chapter expense policy.
  • Attendees requesting a private room be charged $106.00 for two nights.
  • Chapters are welcome to invite other officers at their own expense. Chapters may request those expenses to be withheld from their Chapter rebate.

Transportation, hotel and conference meals onsite are provided by BMW CCA. Any authorized attendee who drives to the conference will be reimbursed at a rate of $0.575 per mile round trip (not to exceed the published airfare for your area.). Rooms are based on double occupancy, and each attendee must let the National Office know with whom they will be sharing a room. If you do not have a roommate the office will assist in finding a roommate.

Additional rooms are $212.00 for two nights.

Charges will be accepted at the National Office, not at registration. Please call 864-250-0022 x225 to arrange payment.

All attendees are responsible for their own airline reservations.
Flight costs not to exceed the published airfare from your departure city as posted here.
Please try to arrive by 4:00 P.M. Friday.
The Conference will end Sunday no later than noon.

You may bring a guest. If your guest wishes to attend meal functions the cost is $165.00 which includes the Friday reception, two Continental Breakfasts, Lunch and Dinner.

Reminder: Hotel fees are being paid by National except for those with private rooms or chapters requiring an additional room. You will need a credit card to cover incidentals.
The National office will make all reservations regardless who is paying. DO NOT RESERVE A ROOM ON YOUR OWN.

Event requirements

Additional attendees must have approval of your chapter president and have an active BMW CCA membership to attend.

Please, one registration per person except for guests.

You are responsible for any cancelled flights.

You are responsible for all room charges if you cancel prior to the event.

GROUND TRANSPORTATION from DFW
After retrieving your luggage contact the hotel directly at 972-929-4500.
The operator will ask for the terminal and gate number and instruct you to the nearest pickup area on the lower level of the terminal.
Allow 20 minutes for airport pickup.

 

Hotel departures run every 30 minutes on the hour and half hour.

Meal items to be served are listed below.  These items are subject to change based on product availability.  Special menu items will be made available to those with special dietary needs.

FRIDAY
Reception (7:00 PM)

  • Texas Table- baby spinach and mixed greens with ranch and balsamic vinaigrette
  • Potato salad barbecue beef brisket and barbecue boneless chicken breast
  • Roasted corn casserole and ranch style beans southern style
  • Cornbread apple tart
  • Cash bar

SATURDAY
Breakfast

  • Freshly squeezed orange juice, chilled cranberry and apple juice
  • Sliced seasonal fruit, oatmeal, breakfast breads to include white and wheat bread,
  • Scrambled eggs, bacon, muffins, danish, bagels served with butter, preserves, flavored cream cheese and honey freshly brewed starbucks coffee (including all of the flavored syrups)
  • Selection of Tazo ® teas

Lunch - Plated

  • Herb Grilled Chicken
  • Butter lettuce, mandarin orange, pear tomato and hearts of palm served with roasted pepper balsamic vinaigrette
  • Warm rolls and butter
  • Grilled boneless breast of chicken served with a tomato basil relish
  • Grilled sweet potatoes, vegetable medley of seasonal vegetables
  • Tropical iced tea by Tazo, water and starbucks coffee
  • Chef selection of assorted desserts

Dinner - Plated

  • Roast Beef
  • Butter lettuce, mandarin orange, pear tomato and hearts of palm served with roasted pepper balsamic vinaigrette
  • Roast beef, sliced and served with a mushroom demi-glace, roasted potatoes and a vegetable medley of seasonal vegetables
  • Warm rolls and butter; tropical iced tea by Tazo
  • Chef selection of assorted desserts
  • Cash bar

SUNDAY

  • Freshly squeezed orange juice, chilled cranberry and apple juice
  • Breakfast tacos, sliced seasonal fruit, grits, breakfast breads to include white and wheat bread,
  • Muffins, danish, bagels served with butter, preserves, flavored cream cheese and honey freshly brewed starbucks coffee (including all of the flavored syrups)
  • Selection of Tazo® teas

Reimbursements will be sent after the event. You must be present to be reimbursed.
